BUSINESS VOICE GUIDES

AI Voice Agent Pilot Checklist for Business

Start with one workflow, a defined test period and a person responsible for reviewing results. Agree on what the assistant may do, what success means and when the pilot must stop.

1. Choose a measurable problem

  • Select one workflow: routine enquiries, lead qualification or booking requests.
  • Record a comparable baseline period and call volume before the pilot.
  • Define qualified leads or confirmed bookings with the sales or operations owner.
  • Set a budget, test window and maximum call volume.

2. Prepare facts and boundaries

  • Approve opening hours, services, locations and frequently asked questions.
  • Name the authoritative source for prices and calendar availability.
  • Specify information the assistant must not guess or promise.
  • Agree on notices, contact preferences, recording, access and retention requirements.

3. Validate the complete connection

  • Test your phone number and provider, not only browser audio.
  • Demonstrate every required language, accent and mixed-language scenario.
  • Confirm supported calendar or CRM actions and the required permissions.
  • Test live transfer if promised; otherwise define callback ownership and timing.
  • Ask for documented concurrency and support limits before load testing.

4. Test ordinary calls and failures

Use synthetic test contacts and a test calendar where possible. Include a correct question, an unknown answer, silence, an interruption, a full calendar, a duplicate request, a cancellation, a request for a person and a lost connection.

Record the expected result and actual result for each test. A booking request must not be reported as a confirmed appointment. Stop and correct repeated incorrect answers or unsafe actions before involving more callers.

5. Review results with your team

  • Call attempts and successful connections.
  • Complete enquiry records and sales-accepted leads.
  • Confirmed appointments, separate from requests.
  • Handoff completion and unresolved callbacks.
  • Incorrect answers, duplicate actions and caller complaints.
  • Total spend and staff review time per useful outcome.

6. Decide whether to expand

Assign a named reviewer, compare results with the baseline, and record the decision and limitations. Keep a rollback path and an owner for updating business information.

A publishable case study needs customer permission, dates, sample size, definitions, source records and total costs. Do not present an illustrative calculation or demo screenshot as proof of revenue growth.
